Email Integrations

Learn how to connect your mailbox and send on behalf of others.

Email Integration Overview

Juicebox supports integrations with both Google and Outlook email providers. To connect a new email address or update an existing integration, navigate to the Integrations tab in the left-hand menu. From there, you can connect or disconnect an email account by securely signing in through your email provider.

🔒
Juicebox does not use customer data for our candidate/profile database in any way. Email integrations are used only for the following purposes: 1) Sending email sequences to candidates 2) Stopping sequences when a candidate replies to a thread 3) Auto-drafting replies to candidate responses For more details, please see our privacy policy

Internal & External Mailbox Setup

Juicebox also supports connecting both internal (your own) and external mailboxes. Each mailbox will be able to send anywhere from 20-200 emails per day, and is a great method to utilize to maximize candidate outreach and deliverability.

To add an additional mailbox:

  1. Select “Integrations” from the left-hand menu
  2. Select “Add a mailbox”
    1. To connect your own email address, select “Connect a Gmail account” or “Connect an Outlook account” depending on your email provider
    2. To connect an external mailbox, select “Invite external user” (The external user will then receive an invite from Juicebox that they have to accept in order for their mailbox to be available for use)
  3. Once accepted, status will change from “Pending” to “Connected”

If the email status is stuck pending after an invite is accepted, please ensure that user’s email is not currently in use by another Juicebox account.

Internal Mailboxes

Internal mailboxes are email addresses you personally own or actively manage and use in your day-to-day work. These mailboxes are ideal for recruiter-led outreach and hands-on candidate engagement.

Common internal mailbox use cases include:

  • Your primary work email
  • Client-specific or branded domains
  • Mailbox aliases

External Mailboxes

External mailboxes allow you to send on behalf of other stakeholders, such as hiring managers, executives, or teammates, without them having to be hands on in the outreach process. This makes it easy to personalize outreach at scale while maintaining full visibility into candidate conversations and reply history.

With external mailboxes, emails will appear to come directly from that external address, and if a candidate replies to that message, both the external mailbox owner and the Juicebox user who initiated the message will be notified, ensuring no response is missed.

Common external mailbox use cases include:

  • Sending on behalf of a hiring manager to boost reply rates
  • Executive-led or founder-branded outreach
  • Coordinated recruiting efforts where recruiters manage execution, but stakeholders stay informed

Mailbox Settings

To edit the settings of an email, click the pencil icon under “Actions” of the email address you would like to configure.

From the mailbox settings page, you can:

  • Change the sender name to reflect who the email address belongs to
  • Increase or decrease the max emails sent per day (daily send limit must be between 20 and 400)
  • Connect or disconnect auto-drafted responses that allow Juicebox to automatically draft a response to a candidate in your writing style
  • Change the email’s access level (more information below)

Public & Private Mailboxes

Control who can send a sequence from a mailbox with public and private access levels. Anyone will be able to create or edit a sequence using a mailbox, but only users with access to that mailbox can initiate a sequence run.

image
  • Public (default): Anyone in the organization can send sequences using this mailbox
  • Private (and shared): Only the mailbox owner and explicitly shared users can send sequences using this mailbox

Admin Email Settings

Manage email settings for your entire organization from Settings > Organization in the Juicebox platform.

Organization Email Sending Limit

While individual users can increase their daily email limit up to 200, org admins can override this limit from Settings > Organization > Organization Email Sending Limit and set a maximum daily limit of up to 400 emails per mailbox.

Once that limit is set by an admin, individual users can then go back into their Integrations tab, and change their max daily emails up to that new limit.

Default Mailbox Access

As a Juicebox admin, you can also set a default access level for all newly connected mailboxes through Settings → Organization → Default Mailbox Access. Please note, existing mailbox integrations will not be affected and mailbox owners can change privacy settings through the Integrations tab.
